As an

Administrative Coordinator

in the Office of the Ombudsperson, you will be responsible for a variety of essential tasks to support the office's operations and enhance its effectiveness. Administrative Support:

Maintain service contracts, order supplies, and manage general office duties such as filing, sorting, and database maintenance. Assist in the development and monitoring of the departmental budget, including processing vouchers, reconciling P-Card logs, and tracking expenditures. Ensure compliance with University policies and procedures.

Visitor Intake & Communication:

Serve as the first point of contact for visitors, assisting with intake and directing them to appropriate services. Provide information on policies and procedures related to conflict management and other office services.

Outreach & Awareness:

Assist with outreach campaigns, representing the office at informational sessions and events. Help design and disseminate office materials. Maintain and update the office's web presence, including website and social media platforms.

Reports & Documentation:

Draft reports, correspondence, and various forms. Assist with the creation of annual reports for the office.

Supervisory Support:

Assist with the hiring process for student assistants, liaising with HRAC and UAP. Track time and maintain schedules for student assistants.

Minimum Hiring Qualifications Bachelor's degree and one-year administrative experience; or high school diploma or GED and five years administrative experience; or a combination of education and related experience. Preferred Hiring Qualifications: Knowledge of University policies and procedures. Strong interpersonal and communication skills. Proven administrative experience, including handling budgets and office management. Comfortable with digital technology, including maintaining databases, websites, and social media. Ability to act in accordance with the International Ombuds Association (IOA) standards of practice. Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
