Position Summary
Reports to: Accounting Manager
Overview This position is in the accounting department and works in conjunction with the sales team, operations managers, and the credit department to conduct timely and accurate billing for construction or major projects. This position uses a standardized method to accurately capture, record, and process finance information associated with projects.
Responsibilities
Billing: Prepare AIA style progress invoices for customers, produce Navision system invoices, and maintain project billing files.
Billing: Process monthly rental invoicing and contract billings for sales team members.
Billing: Advise Sales Representatives when billing is completed and process bills as needed.
Billing: Coordinate with Jobsite Project Managers and Accounts Receivable to make any necessary adjustments to invoices, such as change orders and retention adjustments.
Billing: Manage billing reconciliation and report on contract status.
Billing: Investigate and resolve billing issues to ensure projects are billed and payment is collected within the appropriate timeframe.
Billing: Perform other duties as assigned.
Project Management: Perform job cost analysis to ensure accurate reporting of completion progress.
Project Management: Review construction contracts for discrepancies, billing instructions, and special conditions to ensure compliance with contracts.
Project Management: Ensure accurate information is recorded in monthly financials both in the expense account and in the subsidiary job ledger.
Project Management: Collect and provide appropriate documentation such as insurance certification, prevailing wage labor reports, and lien releases.
Project Management: Analyze retainage and unbilled retainage.
Other duties as required.
Qualifications
Five years of related job experience required
Two-year business degree preferred
Experience in a construction environment
Proficient in Navision, Salesforce.com or Profit CRM software, Microsoft Office; willingness to learn if experience is limited
Working knowledge of general and/or construction accounting principles
Previous experience with AIA documentation
Knowledge of time and materials billing, progress billing, conditional waivers and lien release processing
Excellent verbal, written and interpersonal communication skills
Self-motivated with ability to multi-task, prioritize and work independently with moderate supervision
General understanding of business practices, structures and philosophies
Able to work with strict deadlines
Ability to work effectively on a team to enhance company growth
Demonstrated experience in construction and project management
Good time management and organizational skills
Proficiency in MS Office Suite, CRM programs, and other computer software
Physical/Mental Demands Position requires a high degree of concentration to manage frequent interruptions while meeting strict deadlines. The employee is regularly required to talk or hear, and frequently required to stand, walk, use hands to handle or feel, and reach with hands and arms.
