The Office Manager is responsible for ensuring that our office operates seamlessly — every day, every detail, every time. You’ll be the go-to for everything from executive scheduling to vendor coordination and coffee brewing, blending hospitality, organization, and initiative in one dynamic role. This is not a “wait-to-be-told” position. You’ll be trusted to spot needs before anyone else and take action, whether that means coordinating a maintenance fix, restocking the pantry, or rearranging a meeting on the COO’s calendar to make the day run smoothly. Facilities & Operations (25%) Lead the daily opening and/or closing of the office, ensuring it’s secure, clean, and fully functional. Liaise with building management, porter staff, and vendors to resolve issues quickly. Oversee facilities needs from tech setup to office cleanliness to workspace organization. Manage mail, deliveries, and general office logistics with efficiency and care. Administrative & Executive Support (25%) Provide proactive day-to-day support for executives and staff, with a focus on calendar management and scheduling for the COO. Coordinate company travel, prepare meeting materials, and handle general administrative logistics. Track office-related budgets, expenses, and purchase orders. Provide HR support as needed, including interview scheduling and assisting with general HR communications and documentation. Maintain confidentiality and professionalism across all communications. Keep the office fully stocked and functional, anticipating needs before they’re voiced. Manage vendor orders, repairs, and maintenance of office equipment. Track expenses and manage related budgets with accuracy and accountability. Create a consistent, welcoming, high-energy environment that reflects TSL’s creative culture. Partner with HR and EAs on onboarding, celebrations, and internal events. Curate thoughtful touches that make the office feel like a place people want to be, from snacks to signage. Coordinate with IT support, cleaning services, supply providers, and other vendors. Ensure vendor performance meets or exceeds expectations, and manage contract renewals and schedules. Plan and execute in-office events, agency meetings, and client visits. Partner with the CEO and President’s EAs on logistics, catering, scheduling, and overall experience. Occasional lifting of office products and supplies may be required, up to 20 lbs. Skills, Knowledge and Expertise

Proven experience in office management, operations, or executive administrative support. Exceptional organizational and communication skills. Strong vendor management and problem-solving abilities. Proficiency with Microsoft Office, Google Workspace, Keynote, Asana, Adobe, and Zoom. Reliable transportation for errands and off-site tasks. Ability to occasionally lift office products and supplies (up to 20 lbs).
