Responsibilities (Essential Functions) The Project Manager – New Market Expansion provides support for the planning, coordination, execution, and monitoring of strategic growth projects that enable Agrace to expand into new markets. This individual uses formal project management methodologies to lead multi-workstream projects at various phases, ensuring alignment with business goals while maintaining oversight of project activities and resources. The Project Manager collaborates with cross-functional teams, external partners, and leadership to facilitate decision-making, drive progress, and ensure project deliverables and benefits are achieved on time, within scope, and with high quality.

Key Responsibilities

Project Management

Apply industry-standard project management tools and principles to define and manage scope, goals, deliverables, schedule, and quality to ensure successful delivery of desired business outcomes.

Support development of key project artifacts including charters, project plans, timelines, risk registers and decisions logs – ensure transparency by maintaining and updating documentation throughout the life cycle of the project.

Monitor adherence to planned milestones, tasks and activities, and resourcing. Ensure projects stay within approved budgets and resource allocations.

Assess the impact of changes on the overall critical path and support solutions to ensure project success.

Proactively identify and assess risks and issues. Lead mitigation planning and resolution through collective problem-solving with project stakeholders.

Plan and facilitate project meetings with senior leaders and team members from across the organization, using structured agendas, action item tracking, and follow-up mechanisms.

Provide timely, data-driven updates to the Executive Leadership Team (ELT), Growth Council, and other key stakeholders regarding progress, key risks and dependencies, and milestone health.

Prepare and deliver comprehensive status reports, presentations, and post-project evaluations, offering project recommendations and improvement strategies.

Stakeholder Engagement and Communication

Establish and maintain effective communications with all stakeholders via communication plans, tailored engagement strategies, status reports, and other verbal, written and/or visual professional communication formats.

Collaborate with interdisciplinary leads and subject-matter experts to define scope and project requirements, identify cross-functional dependencies, and secure necessary resources.

Define and enable clear escalation paths and decision-making structures. Coordinate with governance bodies and project sponsors to make timely decisions and resolve barriers or roadblocks in a manner reflective of the business objectives of the project.

Proactively manage stakeholder expectations and facilitate discussions to resolve ambiguity, building consensus to drive decisions forward.

Escalate critical risks, missed deliverables, or shifts in timeline that may jeopardize project success.

Foster a culture of shared accountability by reinforcing deadlines, providing reminders, and using project tools to solicit updates on deliverables from team members across various workstreams.

Maintain a centralized project timeline, ensuring individual contributors understand their responsibilities, due dates, and how their work fits into the overall strategic plan.

Support business relationships with outside vendors and agencies by tracking delivery of promised activities for successful market implementation.

Project Governance and Best Practices

Ensure compliance with federal, state, local, industry, contractual, and company regulations, standards, specifications, and best practices.

Participate in internal workgroups, councils, and project-related committees to share best practices and reinforce project management discipline across the Growth team.

Contribute to process documentation, playbooks, and lessons learned to improve project methodologies and foster a culture of continuous improvement.

Support change management efforts by preparing stakeholders for transitions, ensuring appropriate communication of project goals and outcomes.

Other Duties as Assigned

Participate in other meetings and serve on committees relative to positions responsibilities.

Support general documentation of processes and procedures as it supports new market expansion.

Qualifications

Bachelor's degree in Project Management, Business Management, Health Care Administration, or a related field

3-5 years project management experience leading concurrent, cross-functional initiatives

Project Management Professional (PMP) certification or equivalent or the ability to complete within six months of employment

Extensive knowledge of both theoretical and practical aspects of project management techniques and tools

Strong, proven, communication and customer service skills with the ability to work successfully within all levels of the organization.

Ability to quickly assess, assimilate, and act upon project status changes.

Demonstrated experience simultaneously managing multiple complex initiatives crossing organizational boundaries.

Ability to think systemically and understand the implications of policies and practices.

Skilled in analyzing complex problems and guiding teams toward structured, strategic solutions.

Ability to lead and engage interdisciplinary teams, build trust, and foster collaboration to achieve shared outcomes in the face of complexity or ambiguity.

Demonstrated critical thinking and problem-solving skills.

Must be able to work independently, prioritize workload to complete projects with minimal direction.

Solid organizational skills, including multitasking and time management.

Technologically proficient in PC-based software applications: Microsoft 365 (MS Word, Excel, PowerPoint, Planner, Teams) and other collaboration tools.

Lean/Six Sigma certifications and/or experience are a plus.

Ability to communicate effectively verbally and in writing.

Ability to be flexible in time and task to meet organizational needs.

Ability to maintain confidentiality about patients, families, caregivers, staff, donors, projects and organizational intellectual property.
