Description Of Work
The Executive Assistant provides high‑level administrative and organizational support to the Division Director and Assistant Division Director. The role plays a critical part in maintaining efficient operations across seven regional centers that serve all 100 counties in North Carolina. The position requires adaptability, sound judgment, and the ability to make independent decisions in a fast‑paced environment. The ideal candidate will possess strong problem‑solving, prioritization, and communication skills. Familiarity with North Carolina Family Services (NCFS) or experience within a similar state‑agency environment is preferred.
Key Responsibilities Provide executive‑level administrative support to the Division Director and Assistant Division Director.
Serve as office manager for Division leadership, ensuring smooth daily administrative activities.
Act as a liaison between the Division and internal/external stakeholders, including consumers, legislators, partner agencies, and media representatives.
Manage Division calendars, schedule meetings, and coordinate logistics for large‑scale events and conferences.
Coordinate quarterly meetings for the North Carolina Council for the Deaf and Hard of Hearing, including agenda preparation and logistical arrangements.
Prepare and review correspondence, reports, and other official documents with accuracy and professionalism.
Track budgets, process financial documents, and support procurement and travel processes.
Assist in planning and executing Division events, trainings, and outreach activities.
Maintain and organize confidential records, files, and data systems.
Anticipate leadership needs and proactively resolve administrative challenges.
Knowledge, Skills And Abilities / Management Preferences
Salary Range: $43,738.00 – $76,542.00 Recruitment Range: $43,738.00 – $61,230.00
Experience coordinating complex travel arrangements for staff, including transportation, lodging, and reimbursements in compliance with organizational policies.
Skilled in drafting and editing executive‑level correspondence, reports, meeting minutes, and other formal documents with precision and consistency.
Experienced in managing day‑to‑day office operations, coordinating workflows, streamlining administrative processes, and supporting senior leadership in a dynamic environment.
Proficient in organizing and coordinating meetings and schedules for multiple team members, with a strong commitment to providing responsive and high‑quality service to diverse stakeholders.
Adept at multitasking in a high‑demand setting—balancing phone coverage, written communications, guest reception, and meeting support with professionalism and poise.

Bachelor’s degree in business administration or related discipline, or
Associate’s degree in secretarial science, business administration, or related discipline plus two years of progressively responsible administrative/office management experience, or
High school or GED diploma plus four years of progressively responsible administrative/office management experience, or
Other equivalent education and experience.
