Job Description

DCS Asset Maintenance (DCSAM) is seeking a hard‑working and dedicated Administrative Assistant with a positive attitude and a passion for customer service. This role provides day‑to‑day administrative functions such as basic office responsibilities and visitor reception. The assistant will create, develop, and implement correspondence and programs in support of production, operations, and marketing functions at the branch location.

Major Duties and Responsibilities

  • Demonstrate a positive safety culture by performing responsibilities in full compliance with all safety policies and procedures.
  • Execute all company policies and procedures, including project‑level plans and programs.
  • Ensure work performance is within compliance with contractual, federal, state, and local legal requirements.
  • Demonstrate a sound understanding of contract requirements and customer objectives.
  • Maintain all documents (electronic and hard copy) in a neat and orderly manner.
  • Answer incoming phone calls and dispatch/ document contractual inquiries.
  • Greet and direct project office visitors.
  • Collect, receive, distribute, and sort postage, packages, etc.
  • Perform assigned specialty tasks such as meeting invitations, event coordination, travel arrangements, etc.
  • Maintain a neat, orderly, and aesthetically pleasing office environment.
  • Maintain inventory of materials and supplies.
  • Present procurement needs to the office manager in a timely manner.
  • Submit complete, accurate, and timely data entry, monitoring, reporting, and filing tasks.
  • Maintain a strong customer‑service culture in all communications.
  • Other duties will include scanning, copying, licensing, greeting visitors, creating spreadsheets, and supporting managers as needed.
  • Perform all other duties as assigned.

Qualifications

  • High School Diploma or Equivalent is required.

Experience

  • 2–4 years of relative experience.
  • Ability to multi‑task.
  • Ability to compose general correspondence.
  • High proficiency in Microsoft Office software (Excel, Outlook, Word).
  • Outstanding administrative and organizational skills.
  • Superior written and verbal communication skills.
  • Excellent reading and comprehension skills.
  • Team‑player mentality.
  • Valid driver’s license.
  • Compliance with company drug and alcohol policy.
  • Schedule: Monday–Friday 8 AM–4:30 PM.
