BASE PAY RANGE:

$17.00/hr – $20.00/hr

REPORTS TO:

Administrative Manager

SHIFT / CORE HOURS:

Monday–Friday, 8:30 AM–5:00 PM (Occasional travel to Kingston location for reception coverage)

POSITION SUMMARY:

The Medical Receptionist / Customer Service Representative provides exceptional customer service and administrative support within the Urology department. This role manages patient communication in‑person and over the phone, coordinates scheduling, verifies insurance, and ensures accurate and efficient data entry within the electronic medical record (EMR) system. The ideal candidate is professional, organized, and thrives in a fast‑paced healthcare environment where attention to detail and strong communication are key.

DUTIES & RESPONSIBILITIES

Answer and manage a high volume of incoming calls (100–200 per day) from patients, vendors, insurance companies, and medical facilities.

Greet and check in patients for appointments while maintaining a welcoming and professional front desk environment.

Obtain, verify, and update patient demographic and insurance information at each visit.

Schedule, reschedule, and cancel appointments in accordance with clinic protocols and provider availability.

Screen and route calls to appropriate departments efficiently; take clear, detailed messages as needed.

Review provider schedules regularly to maximize efficiency and accuracy.

Enter patient referrals and testing orders into EMR and fax or mail as required.

Scan and upload pertinent patient information such as authorizations, lab results, and insurance cards into the EMR.

Obtain and maintain HIPAA‑compliant authorizations for the release of medical records; fax records to authorized facilities as needed.

Maintain knowledge of office procedures and assist in ordering and stocking supplies.

Monitor and maintain the cleanliness and organization of the waiting area and front desk space.

Collaborate effectively with clinical staff, physicians, and administrative team members to ensure smooth daily operations and excellent patient experiences.

Support other team members and perform additional duties as assigned.

EDUCATION & EXPERIENCE

Minimum of a High School Diploma required; Associate’s Degree preferred.

1–2 years of experience in a medical office, customer service, or call center environment required.

Electronic Medical Record (EMR) experience preferred.

QUALIFICATIONS & REQUIREMENTS

Exceptional phone manner and interpersonal communication skills.

Strong multitasking, time management, and organizational abilities.

Ability to work independently and collaboratively in a busy team environment.

Proficient typing skills (minimum 35 wpm with 90% accuracy).

Flexible, reliable, and able to remain professional under pressure.

Bilingual (English/Spanish) preferred.
