Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Prepare, proofread, and transcribe documents, reports, and correspondence to ensure accuracy and professionalism.
  • Coordinate projects by tracking deadlines, organizing resources, and liaising with internal teams to facilitate smooth execution.
  • Handle incoming calls with excellent phone etiquette, screen inquiries, and direct calls appropriately across multi-line phone systems.
  • Organize and maintain filing systems—both digital and physical—ensuring quick retrieval of important documents.
  • Assist with event planning for company meetings, conferences, and special events from logistics to execution.
  • Support bookkeeping activities using QuickBooks or similar software, including data entry and basic bookkeeping tasks.
  • Provide personal assistant support as needed for executives' personal appointments or errands.
  • Manage office supplies inventory and place orders to ensure a well-stocked work environment.
  • Facilitate office management duties such as front desk coverage, visitor greeting, and office organization.

Requirements

  • Proven experience in executive administrative support or office management roles with a strong background in clerical tasks.
  • Exceptional organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and Microsoft Outlook Calendar.
  • Strong typing skills coupled with experience in transcription and proofreading for accuracy.
  • Familiarity with data entry procedures and maintaining detailed records using filing systems or digital databases.
  • Excellent communication skills demonstrating professional phone etiquette and customer service excellence.
  • Experience with office equipment such as multi-line phone systems, fax machines, printers, and Docusign for electronic signatures.
  • Knowledge of QuickBooks or similar bookkeeping software is highly desirable.
  • Ability to coordinate multiple projects simultaneously while maintaining attention to detail.

Job Type: Full-time

Pay: $ $40.00 per hour
