Job Overview The U.S. Senate Sergeant at Arms seeks a Procurement & Operations Specialist to support the Printing, Graphics, and Direct Mail (PGDM) team. The role ensures operational continuity by managing procurement activities, supporting inventory and asset tracking, and coordinating with vendors and internal partners. Candidates will contribute to the efficiency and reliability of PGDM operations, ensuring equipment, supplies, and services are available when needed.

Key Accountabilities / Essential Job Duties

Update automated inventory management system; enter and update systems and databases for tracking equipment and supplies; research and process invoices, POs, and contracts; keep pending file of all equipment ordered; generate reports.

Create and manage purchase orders for newly requested equipment and supplies; assist with renewal and cancellation of office equipment rental and maintenance contracts; perform receiving process for PGDM.

Monitor parts and supply stock levels; initiate POs for in‑house repairs; issue parts to in‑house maintenance technicians; maintain computer files of mechanical repairs and parts usage.

Assist Lead Procurement and Operations Specialist and act as a liaison between PGDM and vendors to resolve contract disputes and enforcement issues.

Resolve procurement‑process problems; conduct debriefs following the selection process.

Assist with Lead Procurement and Operations Specialist or act as Asset Custodian to create and maintain an inventory of assets for PGDM.

Other duties as assigned.

Job Specifications Required Education Associate degree in business administration, public administration, or a related field.

Required Work Experience

One to three years of work experience in the procurement field.

Required Skills / Knowledge

Proficiency in key procurement practices, including modern equipment, software, and maintenance sourcing.

Knowledge of Senate rules, regulations, procedures, policies, and the Senate Rules Committee and Committee on Ethics.

Knowledge of Senate financial and inventory management systems.

Knowledge of government purchasing principles and practices.

Knowledge of USPS, UPS, and FedEx shipping regulations.

Ability to follow established policies, guidelines, and procedures for effective purchasing of goods and services.

Ability to work with customers in a front‑facing capacity and work as a team in a fast‑paced environment.

Proficiency with a personal computer, word processing, spreadsheets, and database software.

Ability to understand and follow oral and written instructions.

Effective communication, multitasking, collaboration, and attention to detail.

Effective interaction with staff at all levels and external vendors.

Desired Qualifications

Experience in procurement, operations, or administrative support within a fast‑paced environment.

Strong organizational and analytical skills for tracking inventory, purchase orders, and vendor activity accurately.

Knowledge of purchasing principles, contract coordination, and inventory management practices.

Proficiency with computers, spreadsheets, databases, and procurement or inventory management systems.

Ability to follow established policies while adapting to operational needs.

Strong attention to detail and ability to manage competing priorities and deadlines.

Proactive, solutions‑oriented mindset to identify and resolve operational issues collaboratively.

Working Conditions

Position requires onsite presence when the U.S. Senate is in session and availability during government shutdowns, inclement weather, holidays, late nights, overnight, and weekend sessions.

Employee must remain stationary to operate a computer and other office productivity machinery, occasionally move boxes or equipment weighing less than 75 lb, and occasionally walk around the office for staff interactions.

Uniforms are required.
