Job Overview The U.S. Senate Sergeant at Arms is seeking a Procurement & Operations Specialist to support the dynamic Printing, Graphics, and Direct Mail (PGDM) team. This role plays a critical part in ensuring operational continuity by managing procurement activities, supporting inventory and asset tracking, and coordinating with vendors and internal partners. In this position, you will contribute directly to the efficiency and reliability of PGDM operations by helping ensure equipment, supplies, and services are available when needed. Your work supports both day‑to‑day functions and long‑term operational readiness, enabling PGDM to deliver uninterrupted services to the Senate community.

Key Accountabilities / Essential Job Duties

Update automated inventory management system; enter and update systems and databases for tracking equipment and supplies; research and process invoices, POs, and contracts; keep pending file of all equipment ordered; generate reports.

Create and manage purchase orders for newly requested equipment and supplies; assist with renewal and cancellation of office equipment rental and maintenance contracts; perform receiving process for PGDM.

Monitor parts and supply stock levels; initiate POs for in‑house repairs; issue parts to in‑house maintenance technicians; maintain computer files of mechanical repairs and parts usage.

Assist Lead Procurement and Operations Specialist or act as liaison between PGDM and vendors to resolve contract disputes and enforce contracts.

Resolve problems related to the procurement process; conduct debriefs following the selection process.

Assist as Asset Custodian to create and maintain an inventory of assets for PGDM.

Other duties as assigned.

Job Specifications Required Education Associate degree in business administration, public administration, or a related field.

Required Work Experience One to three years of work experience in the procurement field.

Required Special Skills / Knowledge

May conduct a skills assessment to evaluate proficiency in key areas.

Knowledge of, or ability to learn, departmental rules, regulations, procedures and functions, including Senate Rules Committee and Senate Committee on Ethics policies.

Knowledge of modern practices used in procuring equipment, software, and maintenance.

Knowledge of Senate’s financial and inventory management systems.

Knowledge of effective government purchasing principles and practices.

Knowledge of USPS, UPS, and FedEx shipping regulations.

Ability to follow established policies, guidelines and procedures for effective purchasing of goods and services.

Ability to work with customers in a front‑facing capacity and collaborate as a team in a fast‑paced environment.

Ability to operate a personal computer with proficiency in word processing, spreadsheet, and database software.

Ability to understand and follow oral and written instructions.

Ability to communicate, multi‑task and collaborate effectively; attention to detail required.

Ability to work effectively with all levels of management and staff.

Ability to interact with staff members at all levels and with outside vendors.

Desired Qualifications

Experience in procurement, operations, or administrative support within a fast‑paced organizational environment.

Strong organizational and analytical skills; accurate tracking of inventory, purchase orders, and vendor activity.

Knowledge of purchasing principles, contract coordination, and inventory management practices.

Effective communication with vendors, technicians, and internal stakeholders.

Proficiency with computers, spreadsheets, databases, and procurement or inventory management systems.

Ability to follow policies and procedures while adapting to operational needs.

Strong attention to detail and ability to manage competing priorities and deadlines.

A proactive, solutions‑oriented mindset with collaborative problem‑solving skills.

Working Conditions

Requires onsite presence during Senate sessions; available for work during government shutdowns, inclement weather, holidays, weekends, late nights, overnight, and weekend sessions.

Position is considered excepted during government furloughs.

Must remain in a stationary position to operate a computer and other office equipment.

Occasional movement within the office to confer with customers and staff.

Frequent movement of boxes or equipment weighing less than 75 pounds as needed.

Employees must wear uniforms.
