General Description The Inventory Specialist is responsible for tracking and receiving assets for Northern Virginia Community College and ensuring assets are accurately recorded and updated in all Inventory systems. The position manages the College Physical Inventory process including running inventory reports and formatting them correctly, coordinating with inventory liaisons, reconciling inventory responses for errors and updates, ensuring missing assets are documented appropriately, requesting updates for all assets, verifying updates have been processed correctly, and providing confirmation of updates to liaisons.

Duties and Tasks

Assist the Property Control Manager with the financial accounting of all fixed assets transactions at Northern Virginia Community College.

Ensure that the central inventory database is properly maintained at all College locations and that all fixed assets are tracked and documented.

Prepare reconciliation reports and perform analysis for the College Physical Inventory.

Research to proactively identify potential fixed assets received but not reported to the Property Control Office.

Provide guidance to Storekeeper Managers and end‑users on the submission of tag requests and financial documentation required to account for the fixed assets.

Train AIS and eVA (receiving module) users to ensure inventory record accuracy and integrity.

Prepare all financial fixed assets reports required by the Property Control Office to conduct audits and to provide for the College Internal Auditors.

Serve as a liaison with the Accounts Payable Office to acquire payment information for all fixed assets receiving transactions.

Frequently cross‑train and support Warehouse Services with day‑to‑day mailroom and delivery operations when needed.

Special Assignments

May be required to perform other duties as assigned.

May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

Excellent verbal and written communication and interpersonal skills required for interacting with all levels of the College administration and staff.

Ability to comprehend and apply rules and regulations as required.

Ability to use standard office equipment; Inventory applications, databases, and other related computer software and hardware.

Capable of lifting and moving equipment and materials of moderate weight regularly.

Minimum Work Experience

Experience with warehouse or inventory operations and/or asset management.

Experience in Microsoft Office with proficiency in MS Excel.

Experience with customer service.

Experience working on reports related to inventory management/fixed asset.

Valid driver’s license.

Additional Considerations

Experiencing managing a cyclical process.

Experience managing a process from start to finish and verifying results.

Experience working in Asset Management system.

Travel Will be required to travel between NOVA Campuses.
