Job Overview

We are looking for a talented and experienced Executive Assistant to provide high-level administrative support to our executive team. The ideal candidate will be a proactive problem‑solver with excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced healthcare environment.

Key Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and expense reporting
  • Serve as the primary point of contact for internal and external stakeholders, managing communication and scheduling on behalf of executives
  • Prepare and edit correspondence, presentations, reports, and other documents with a high degree of accuracy and professionalism
  • Coordinate and organize meetings, conferences, and events, including logistics, agendas, and materials
  • Manage complex filing systems and maintain confidential records and documents
  • Act as a liaison between executives and other departments, facilitating effective communication and collaboration
  • Screen and prioritize incoming calls, emails, and visitors, ensuring efficient use of executive time
  • Conduct research and gather information to support executive decision‑making processes
  • Assist with special projects and initiatives as assigned by the executive team
  • Maintain a high level of discretion and confidentiality in handling sensitive information
  • Provide backup support for other administrative staff as needed
  • Manage office supplies and equipment, ensuring a well‑organized and efficient work environment

Qualifications

Required:

  • Bachelor's degree in Business Administration, Healthcare Administration, or a related field
  • Minimum of 5 years of experience as an Executive Assistant, preferably in a healthcare setting
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
  • Excellent verbal and written communication skills
  • Strong organizational and time‑management skills with the ability to multitask and prioritize effectively
  • Exceptional attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Professional demeanor and strong interpersonal skills
  • Flexibility to work extended hours when necessary

Preferred:

  • Experience with healthcare‑specific software and electronic health record (EHR) systems
  • Knowledge of medical terminology and healthcare industry regulations
  • Familiarity with project management tools and techniques
  • Experience in event planning and coordination
