Senior Administrative Associate - UTIG
Location: Pickle Research Campus, Austin, TX Weekly Hours: 25 (part‑time) FLSA Status: Non‑Exempt Start Date: January 12, 2026 (expected to continue) Position Open To: All Applicants Purpose
Serve as a Senior Administrative Associate for the Institute for Geophysics, providing support in facilities management and procurement. Responsibilities
Serve as ROC Building Manager and Space Coordinator; monitor appearance and condition of the ROC building, shared spaces, and grounds. Coordinate maintenance services through UT Facilities and process maintenance requests in the UT Works system. Manage annual space usage reporting and related audits. Coordinate building access, including issuance of keys and management of the BACS/Genetec electronic entry system. Assist with equipment, furniture, and office moves and property surplus activities. Conduct facilities and procurement activities for research, administration, and events. Serve as departmental procurement card holder and process procurements via Amazon.com, UT Market, HEB.com, and other platforms. Monitor and coordinate replenishment of common office supplies. Manage event site reservation and preparation, including signage and permitting. Assist with internal event setup and teardown; backup support for Seminar Series Coordinator. Manage departmental vehicle fleet: maintenance coordination, registration, mileage reporting, fuel card issuance, parking permits, and UTDRIVER certification program. Support inventory scanning and certification; serve as alternate receiving representative for mail and delivery receipt and distribution. Assist warehouse operations coordinator with receiving and outbound shipments. Perform other related duties as assigned. Required Qualifications
Bachelor's degree and at least three years of clerical or administrative experience. Strong interpersonal skills and a positive, professional demeanor. Excellent organizational, problem‑solving, and time‑management skills with attention to detail. Ability to lift and move up to 100 pounds. Excellent oral and written communication skills. Preferred Qualifications
Experience managing a building. Experience conducting procurement activities for a university or state agency. Driving Requirement
Willingness to complete all University of Texas driving courses. Salary Range
$50,000 FTE, prorated to $31,250 for 25 hours per week. Working Conditions
Repetitive keyboard use and manual dexterity. Lift and move files, supplies, hardware, furniture, and equipment up to 100 pounds. Position is 100% in‑office on the Pickle Research Campus. Required Materials
