Core Focus of the Role This is a full-time, high-leverage position built around:

Executive support & time protection

Operations, admin, and financial systems ownership

Delegation, process improvement, and automation

Cross-functional project management

Leadership and team integration

Key Areas of Responsibility 1. Executive Support & Time Protection (25%)

Own and manage the CEO inbox using

Fyxer AI

(training, delegation, replies as needed)

Protect Christian’s time by filtering, prioritizing, and handling communication

Own calendar management, scheduling, and meeting prep

Build and maintain a

delegation pipeline

so nothing important gets stuck

Ensure the CEO is only involved where his input is truly required

Outcome:

The CEO spends time on vision, leadership, and growth, not noise.

2. Podcast & External Commitments Ownership (25%)

Own the

end-to-end podcast scheduling process

(PodPitch outreach)

Coordinate scheduling based on Christian’s availability and priorities

Collect and organize raw video and audio assets

Ensure promotion on Christian’s personal social media channels

Act as the single point of ownership for podcast-related workflows

Outcome:

No dropped balls, no rescheduling chaos, no missing assets.

3. Admin & Ops Systems Ownership (25%)

Build and maintain a clean

SOP library

Own monthly

bank reconciliations

and generate cash flow reports

Produce additional financial or operational reports as needed

Run

payroll twice per month

(vendors, employees, contractors)

Manage tool access, pay Saas upgrades, permissions, onboarding and offboarding

Ensure every team member has the right tools at the right time

Outcome:

Operations run quietly, accurately, and on schedule.

4. Delegation & Process Improvement (15%)

Capture delegated tasks using

Fathom AI

(or equivalent tools)

Clarify outcomes, owners, and deadlines, then route appropriately

Improve processes through automation, tools, and contractors

Ensure tasks move through the

DRIP cycle

Eliminate repeat questions, manual work, and unclear ownership

Outcome:

The business gets smarter every month, not heavier.

5. Leadership & Team Integration (10%)

Support execution of company

Rocks

and quarterly priorities (EOS)

PM cross-functional initiatives and keep deliverables on track

Begin onboarding and coordinating contractors as needed

Ensure alignment between leadership priorities and day-to-day execution

Outcome:

Strategy turns into execution without bottlenecks.

Qualifications The Ideal Candidate:

Western Hemisphere–based

3+ years supporting a CEO, founder, or senior executive

Exceptional written and verbal English communication

Thinks in systems, not tasks

Calm, confident, and decisive

Fluent in or comfortable with:

Google Workspace

ClickUp

Slack

Xero

AI tools (Fyxer, Fathom, automation tools)

Comfortable handling sensitive information

Thrives in fast-moving, mission-driven environments
