Position Summary The Administrative Assistant II supports the operations of the maintenance and housekeeping departments by providing high-level administrative and clerical assistance. This role ensures the smooth execution of daily activities, coordinates work orders, maintains records, and facilitates communication between departments to enhance operational efficiency.
Knowledge, Skills, Abilities
Considerable knowledge of office practices, procedures, systems, and equipment.
Ability to maintain administrative, fiscal, and academic records, and to prepare reports and answer questions from such records.
Ability to establish and maintain effective working relationships with officials, employees, students, and associates, and effectively convey information.
Effective knowledge of computer software including Windows, Word, Internet Explorer, Outlook, Excel, Adobe Acrobat, and Adobe Contribute.
Prolonged sitting at desk during course of day.
Physical Demands Standing and/or sitting for long periods of time. Driving.
Driving This position requires driving. Yes.
Financial Responsibilities P-Card: Yes. This position has operation, access, or control of financial resources and requires a P-Card. Having a P-Card is an essential function.
Duties / Responsibilities
Processes payment requests, submits refunds, submits requisitions, cost receipts, and manages a University PCard. (40%)
Supports department managers with time and absence approval, scheduling, etc. (20%)
Assists with vehicle inventory database and submitting maintenance records in state and federal systems; keeps track of routine scheduled vehicle maintenance. (20%)
Prepares correspondence, maintains records and files, prepares reports and other general office duties; assists departmental managers track routine maintenance such as pool permits, grease traps, HVAC filters, piano tuning, etc. (10%)
Assists with phone rotations in the administration office and other center related needs. (10%)
Minimum Qualifications Requires least a high school diploma or equivalent. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
