Caretree Health is seeking an experienced Business Office Manager to oversee the financial operations and management for our skilled nursing facilities in Western NY. The RBOM serves as a strategic leader, ensuring that facility-level Business Office Managers (BOMs) maintain high standards of accuracy in billing, collections, and regulatory compliance.
The ideal candidate will have a deep understanding of NYS Medicaid, Medicare A/B, Managed Care, and the complexities of the New York State Department of Health financial regulations.
Key Responsibilities
Revenue Cycle Oversight: Monitor Accounts Receivable (AR) for all assigned facilities to ensure aging is within company benchmarks.
Training & Mentorship: Onboard and provide ongoing training to facility BOMs on internal systems, billing procedures, and collections.
NYS Compliance: Ensure all facilities are compliant with NYS DOH regulations, including the timely filing of Medicaid applications and the management of NAMI (Net Available Monthly Income).
Audit Management: Lead preparations for annual audits and internal reviews; ensure facility records are "survey-ready" at all times.
Cash Flow Optimization: Review weekly aging reports and conduct monthly AR reviews with Administrators to identify bottlenecks in the collections process.
Policy Implementation: Standardize business office procedures across the region to ensure consistency in financial reporting and internal controls.
Qualifications & Requirements
Experience: Minimum of 2–5 years of experience as a Business Office Manager in a Skilled Nursing Facility (SNF) or a regional role
NYS Expertise: Mastery of the New York State Medicaid application process.
Technical Skills: Proficiency in SNF billing software (e.g., PointClickCare, MatrixCare) and Microsoft Excel skills.
Knowledge: Strong understanding of Medicare, HMOs, Private Pay, and the "Pending Medicaid" process in NYS.
Travel: Ability to travel regularly to facilities within the assigned Western New York region.
Communication: Excellent interpersonal skills with the ability to coach diverse teams and present financial data to executive leadership.
