Overview
Administrative Assistant IV in the Enterprise Applications section of the Information Technology Division. Location: Huntsville, TX. Schedule: Full-time. Employee Status: Regular. Travel: Moderate. Pay basis: Monthly. Overtime: Non-exempt. Responsibilities
Performs highly complex administrative support work, including disseminating information; developing filing systems; and preparing and editing reports and documents. Works under limited supervision with moderate latitude for initiative and independent judgment. Provides technical assistance for agency programs; develops administrative and technical assistance policies and procedures; responds to inquiries regarding technical program policies and procedures; assists in program planning implementation. Develops, coordinates, and maintains an automated records management and filing system (including fixed assets, equipment acquisitions, transfers, system maintenance, warranty, and vendor information); compiles and edits data, makes calculations, and prepares summaries and reports. Coordinates the preparation and distribution of correspondence, reports, studies, forms, and documents; interprets and disseminates program information; processes and distributes information technology requests for services. Assists in researching technical issues regarding product descriptions and specifications for hardware, software, and consumable products; communicates with vendors; coordinates work with staff, other departments, and vendors. Coordinates office duties including ordering supplies; manages schedules and travel arrangements; prepares travel vouchers; performs timekeeping for support staff; provides information and assistance in the program area. Performs a variety of marginal duties as assigned. Minimum Qualifications
Education, Experience, and Training Graduation from an accredited senior high school or equivalent or GED. Three years of full-time, wage-earning experience in customer service, clerical/administrative support, technical program support, and related fields. Fifteen semester hours from an accredited college or university may be substituted for each six months of experience, as recognized by CHEA or USDE. Data gathering and assessment experience in an information technology environment preferred. Microsoft Office experience preferred. Project coordination experience preferred. Knowledge and Skills Knowledge of office practices and procedures. Knowledge of agency accounting system preferred. Knowledge of applicable state and federal laws, rules, regulations, and statutes preferred. Knowledge of agency and departmental structure, policies, procedures, and regulations preferred. Skill to communicate ideas and instructions clearly and concisely; coordinate with staff, departments, officials, agencies, and the public; interpret and apply rules, regulations, and procedures; and problem-solve administratively. Skill in using computers and related equipment in stand-alone or networked environments; ability to prepare and maintain complex records and files in automated systems; plan work to meet guidelines; and use Microsoft Office Suite or equivalent. Additional Requirements
Ability to walk, stand, sit, kneel, push, stoop, reach above shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle and motor equipment. Conditions include working indoors around machines with moving parts and energy sources; working closely with others and alone; irregular hours; and travel by car, van, bus, and airplane.
