The University of Nevada, Reno School of Medicine (UNR Med) is seeking an Administrative Assistant 3 to join the Admissions team. This position plays a pivotal role in coordinating the medical school admissions interview process and providing comprehensive administrative support across various admissions functions. Reporting directly to the Manager of Medical School Interviews, the Administrative Assistant 3 will manage event logistics, schedule meetings, handle procurement activities, assist with data management, and perform additional administrative duties as required. Key Responsibilities Coordinate and schedule admissions events, meetings, and interview logisticsincluding room and AV setupand prepare materials (agendas, handouts, nametags, signage). Manage applicant and committee datahandle inquiries, send interview invites, track program completion, run reports, update systems, and maintain electronic files. Support meetings: prepare agendas, take minutes, track participant attendance and volunteers via event software; proofread memos and reports and respond to student emails. Verify application requirements for MD and Pre-Med Pathway programs. Provide on-site interview day support, including staff check-in, room setup/cleanup, and event coordination. Track expenses, reconcile P-card activity, manage purchasing and travel authorizations. Order recruitment and office supplies, support student/temp employee logistics, and process expense reimbursements. Required Qualifications Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR One (1) year of experience as an Administrative Assistant II in Nevada State service; OR An equivalent combination of education and experience as described above. Schedule The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs. Compensation Grade Grade 27 In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidates qualifications, internal equity and budgets.
