Your Challenge

Were looking for an experienced Executive Assistant to join our team in New York, directly supporting our CEO and senior leadership team as we continue to scale globally. This position requires a proactive, highly organized, and detail-oriented individual who can manage complex executive calendars, handle confidential information, and support a fast-paced environment. You will work closely with the CEO, and depending on business needs, you may also provide assistance to other C-level executives based out of New York.

Key responsibilities include:

Proactive Calendar Management: Manage the CEOs complex calendar, prioritising appointments and meetings based on business needs and global time zones, ensuring seamless scheduling and avoiding conflicts. Meeting Coordination: Schedule and coordinate meetings, including attendee management, material preparation, room set-up, and issue resolution, ensuring a smooth and effective meeting process. Travel Management: Organise domestic and international travel logistics, including itinerary planning, flight bookings, accommodations, and budgeting, ensuring a seamless travel experience for the CEO and other executives. Strategic and Board Support: Provide logistical and strategic support for Board meetings, preparing materials, and assisting in tracking key business initiatives. Executive Liaison: Act as the main point of contact between the CEO and other senior stakeholders (internal and external), managing communications and filtering incoming requests to prioritise the CEOs time effectively. Confidentiality & Discretion: Handle highly sensitive and confidential information with discretion, ensuring that all materials and communications align with the CEOs priorities. Project & Event Management: Lead coordination for high-profile corporate events, executive offsites, and special executive engagements, ensuring successful execution and adherence to budgets. Document Drafting & Review: Assist with the preparation and review of internal and external communications, including emails, reports, and presentations, ensuring they reflect the CEOs voice and key messaging. Administrative Support: Support the CEO and C-level executives with administrative tasks, such as maintaining organisational charts, contact lists, and internal communication systems.

What Youll Need To Succeed

A minimum of 3 to 5 years of experience supporting C-level executives in fast-paced, high-growth environments. Strong time management skills with the ability to prioritise tasks, work independently, and handle multiple responsibilities. Excellent communication skills, both written and verbal, with the ability to interact with senior leaders and external stakeholders professionally. Ability to manage ambiguity, anticipate the executives' needs, and proactively resolve issues. High integrity with the ability to handle sensitive information with confidentiality and professionalism. Proficiency in G-Suite and other office tools, with a strong comfort level working in digital environments. Perfect command of English (written and spoken). Spanish fluency could be nice to have. A calm, solution-oriented approach when handling high-pressure situations or conflicting priorities.
