EXECUTIVE ASSISTANT

Location: Nashville, TN but subject to travel

Employment Type: Full-time

About the Role

I am seeking a highly organized and proactive Executive Assistant to support me as an Artist Manager and Creative Executive across a variety of projects in the Entertainment, Fashion and Brand space. This role requires a professional who excels at managing multiple priorities, handling sensitive information with discretion, and ensuring seamless day-to-day operations for executives.

Key Responsibilities

  • Manage executive calendars, appointments, and travel arrangements (domestic & international).
  • Act as the primary point of contact between executives and internal/external partners.
  • Prepare, review, and edit correspondence, reports, presentations, and meeting materials.
  • Update and maintain key materials and files across projects.
  • Coordinate board meetings, executive offsites, and company events.
  • Screen and prioritize emails, calls, and meeting requests.
  • Track deadlines, follow-ups, and deliverables to ensure projects move forward on time.
  • Assist with personal tasks or errands as needed and coordinate with executive’s personal assistant.
  • Direct and escalate information and issues in line with Executive’s preference and business structure.
  • Maintain a high level of confidentiality with sensitive company and personal information.

Qualifications

  • Bachelor’s degree or equivalent experience preferred
  • 3+ years of experience supporting senior-level executives (C-suite experience a plus; Entertainment Industry experience a plus)
  • Excellent organizational, time management, and problem-solving skills
  • Strong written and verbal communication abilities
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Slack, Zoom, Google Workspace, etc.), Asana, basic graphic design skills are a plus
  • Basic understanding of contracts with the ability to communicate deal points to legal counsel is a plus
  • Proven ability to work independently with minimal supervision
  • Discretion and professionalism when handling confidential information
