Join a fast-growing tax & accounting firm serving small–mid sized businesses nationwide. As a Payroll Specialist, you’ll own accurate, timely payroll processing and payroll compliance while supporting clients with white-glove service. Benefits include PTO and comprehensive health insurance.
Responsibilities
Process weekly/biweekly/semi-monthly payrolls (W-2 and 1099) across multiple states and entities.
Maintain employee records (new hires, terminations, rate changes, deductions, garnishments).
Reconcile payroll registers to GL; prepare payroll journals and month-end reports.
Calculate and file payroll taxes (federal/state/local); manage deposits and quarterlies (940/941, state returns).
Prepare and distribute year-end forms (W-2, 1099) and respond to payroll/tax notices.
Administer benefits deductions (health, FSA/HSA, 401(k)) and handle employer matches and true‑ups.
Audit timesheets, PTO, and overtime; resolve discrepancies with managers and clients.
Support audits and compliance requests; document SOPs and process improvements.
Provide day-to-day client support with prompt, professional communication.
Requirements
2+ years of hands‑on payroll experience (multi-state strongly preferred).
Proficiency with
QuickBooks
(required) and at least one payroll platform (e.g., ADP, Paychex, Paycom, Gusto).
Working knowledge of payroll tax rules, wage & hour, and pre/post‑tax deductions.
Strong Excel skills (pivot tables/lookups) and high attention to detail & confidentiality.
Excellent time management; comfortable in a fast‑paced, deadline‑driven environment.
Nice to Have
Experience in client‑facing firm or outsourced payroll environment.
Familiarity with GL mapping and basic accounting (AP/AR, reconciliations).
CPP/FPC or progress toward certification.
