About Advanced Spine And Pain (ASAP) ASAP is a comprehensive interventional pain practice with twelve locations across Arizona. We provide individualized patient treatment programs driven by an outcomes programme developed by our own physicians. Our team is board‑certified and non‑physician providers have extensive experience in interventional pain management. We lead the state with a full‑service behavioral health integration.
Position Overview Location: Prescott Valley, AZ

Reports to: Office Manager
General Statement of Duties Maintain a high level of customer service while ensuring the efficient, productive and professional operation of the front office. Responsibilities include patient reception, scheduling, collection of demographic and insurance information, and payment processing.
Essential Functions
Promptly greet and acknowledge patients; inform MA’s and providers of patient arrival via Care Cloud.
Guide patients through completion of medical history and information forms; update and correct patient accounts; secure authorizations and referrals.
Collect co‑payments, co‑insurances and past‑due balances.
Explain financial requirements to patients; refer complex insurance questions to billing.
Evaluate patient financial status and establish payment plans as authorized.
Accurately complete and interpret insurance verification and benefits; notify stakeholders of coverage issues.
Scan new or updated patient information (photo ID, insurance cards, referrals, paperwork).
Schedule follow‑up appointments; obtain required authorizations; notify patients of referral needs.
Maintain knowledge of accepted insurance plans.
Communicate with patients in the lobby about delays.
Maintain a secure and accurate cash drawer; balance daily; close batches.
Maintain patient confidentiality.
Education
High School Diploma/ GED or equivalent preferred.
Preferred: Graduation from an accredited Medical Assistant training program or a licensed Practical Nurse (LPN) license.
Experience
Medical office experience preferred.
Minimum one year of patient registration in a medical office or healthcare setting.
Knowledge of insurance rules, medical terminology, and computer scheduling systems.
Effective communication with physicians, patients and the public; ability to foster good relationships with internal and external customers.
Knowledge
Healthcare field knowledge.
Insurance rules, eligibility and referral requirements; ability to verify each payer’s eligibility.
Medical terminology and HIPAA guidelines.
EMR computer charting and documentation proficiency.
Pain management/medical/surgical best practices.
Medical office policies and procedures.
Skills
