Receptionist Position

We are looking for an organized and detail-oriented receptionist to join our team in Newark, New Jersey. As the first point of contact, you will play a key role in ensuring efficient communication and smooth operations within our education-focused environment. This is a long-term contract position that offers the opportunity to contribute to a dynamic and collaborative setting.

Responsibilities:

  • Serve as the primary contact for visitors, students, and staff, ensuring a welcoming and detail-oriented atmosphere.
  • Handle incoming calls promptly, providing accurate information and directing inquiries to the appropriate department.
  • Manage student scheduling, coordinating appointments and maintaining accurate records.
  • Oversee email correspondence, responding to inquiries and forwarding messages as necessary.
  • Maintain an organized reception area, ensuring it is tidy and presentable at all times.
  • Collaborate with team members to support administrative tasks and special projects.
  • Monitor and manage scheduling systems to streamline operations.
  • Assist with general office duties, including filing and data entry.
  • Provide excellent customer service to address the needs of students, parents, and visitors.
  • Ensure confidentiality and security of sensitive information while handling administrative tasks.

Requirements:

  • Proven experience in receptionist or administrative roles, preferably in an educational setting.
  • Strong communication skills, both verbal and written, with a detail-oriented approach.
  • Proficiency in scheduling and calendar management tools.
  • Ability to handle inbound calls efficiently and provide accurate information.
  • Familiarity with email correspondence and basic office software applications.
  • Excellent organizational skills to manage multiple tasks and priorities effectively.
  • Attention to detail and a commitment to maintaining accurate records.
  • High level of discretion and ability to handle confidential information.
